POSITION OVERVIEW 

The Assistant Director of Operations for NYT’s international conference portfolio will join an entrepreneurial team that is building a new portfolio of world-class conferences and live events for top audiences in a range of sectors, with a focus on the most compelling and timely topics in the market.  Led by senior editors of The New York Times, NYTLive conferences and events are editorial products – live journalism – featuring leading influencers of our time.

Based in London, the role of Assistant Director, Conference Operations  is a pivotal role overseeing logistical planning, production and business operation and ensuring the smooth running of the NYT’s high profile international conferences. The role also supports the VP, International Conferences in terms of project planning and oversight of the international conferences portfolio and coordinating multiple functions (logistics/production/marketing/programming/sales) to deliver top-quality events on time and on budget. The role also serves as the conference department’s liaison to key internal departments such as Finance, HR, IT, NY head-office and others. This is a demanding role, requiring strong organizational and negotiating skills, project and vendor management, international travel, solid production experience with plenty of scope for innovation.

The position requires excellent organizational skills, outstanding interpersonal abilities, experience with budgets and financial reporting, an understanding of event production, strong management skills, the ability to communicate complex information clearly, energy, enthusiasm, and a comfort with entrepreneurial, fast-changing environments.  A minimum of 10 years experience with the business-side operations of productions is preferred, as is a Bachelor’s Degree and a strong interest in current and international affairs, news, and media.   

KEY AREAS OF RESPONSIBILITIES 

Conference/Event Execution

  • Project manage and create the “Planning Timeline & Key Milestones deadlines dashboard’’ for each international conference and together with VP run the update meetings for each conference bringing all stakeholders together to ensure maximum communication and achievement of deadlines, budget and objectives.
  • Source production company to build stage set/signage for each conference/dinner venue and act as an intermediary between the designers and the production company on the build.
  • Liaise with the chosen suppliers on all production needs of the events –hostesses, translators, outside catering, local transport etc – and be key point of contact for on-the-ground staff
  • Manage on-site video production
  • Handle all speaker liaison with regards to A/V requirements, hotel accommodation and travel
  • Manage the timely and cost-effective production of the conference booklet, including gathering speaker profiles/pictures, sponsor and house advertisements and any other content provided by the Conference Producer.
  • Work closely with the Sponsorship Sales Team to provide innovative on-site sponsorship opportunities for clients.
  • Work with the Communications Manager to determine the needs of media guests at each event and help with the staging of press conferences, as necessary.

Oversee Business Operations

  • Provide annual production expense budget plan to the VP International Conferences and Finance department
  • Provide monthly status reports and expenses forecasts to the  VP International Conferences and share with other team member or partners where relevant Ensure all costs are tightly controlled and invoices are received from suppliers on a timely basis
  • Responsible for billing, financial reporting and reconciling for all sponsorship and advertising revenue for all conferences using e-touches. Act as the liaison person with the Finance Department and New York finance team.
  • Ensure that the conference team keeps a tight control on operating expenses to improve the profitability of the conferences unit.
  • Develop and maintain an all year round events internship program to provide administrative support
  • Sponsorship Oversight – Collaborate with sales team and legal counsel to develop sponsorship agreements, review, negotiate and approve terms

Improving Operations & Production Values

  • Work with the VP, International Sales and SVP, Conferences in NY to ensure that the development of the conference business is aligned with and supports the strategic goals of the company
  • Research and provide information for conference and gala dinner venues in multiple markets, always on the look out for innovative and cost-saving solutions
  • Work with the Sponsorship  Sales Team, on post-sale sponsor liaison, to include briefing notes, on-site logistics, placement of exhibition stand, delivery of sponsor’s collateral, distribution of sponsor’s materials and be of general practical assistance, both off and on-site
  • Assist in the development of new conferences to help strengthen and grow the portofio

STAFF MANAGEMENT RESPONSIBILITIES:

Conference & Sponsorship Support Executive; Interns and temporary staff; and assist the VP, International Conferences, especially during the VP’s business trips.

POSITION OVERVIEW

FUNCTIONAL RESPONSIBILITIES

  • Support the Regional Circulation Director & his team in all aspects of newspaper circulation sales development and administration across newsstand, subscription, sponsored copies and corporate sales.

The Marketing and Audience Development Manager for International Conferences will join an entrepreneurial team that is building a new portfolio of world-class conferences and live events for top audiences in a range of sectors, with a focus on the most compelling and timely topics in the market.  Hosted by senior editors of The New York Times, NYTLive conferences and events are editorial products – live journalism – and feature the leading figures of our time.

This position will oversee marketing, branding and audience development for international New York Times conferences and is expected to contribute to the strategic development of the INYT’s growing program of high-profile business conferences. The marketing and audience campaigns are expected to generate substantial audience revenue for the conferences group through ticket sales.  Because our audiences include influential, news-making individuals, the Marketing Manager will have experience with audience curation and marketing to well-informed, high-level customers.

Responsibilities include (1) leading the planning and execution of all marketing campaigns across different channels, including list development and analysis, direct mail outreach, e-mail blasts, print and online ads, “white-glove” telemarketing, social media initiatives, website development and registration systems, and other creative tools for recruiting high-end paying customers, and (2) developing compelling brand strategies, with polished, clear positioning, design identity, and messaging, to differentiate each conference franchise in the marketplace.  Because our conferences involve extensions such as print and online tie-ins and the input of many different constituents, the Marketing Manager will interact with senior executives from a range of departments across The New York Times, including advertising, editorial, strategy and consumer marketing, always working in alignment and taking their cue from the Marketing Director in NY. 

KEY AREAS OF RESPONSIBILITIES 

Audience Development and Recruitment

  • Create detailed marketing and audience-development plan for each conference in collaboration with Conferences team – programming, sponsorship and strategy
  • Work with Database Coordinator to establish new data gathering, curate, develop and expand the conference marketing database, undertake general data management and campaign tracking processes to improve the efficiency of the marketing and sales operation.
  • Deliver detailed direct marketing and telesales programs tailored for each conference to reach the target delegate numbers and revenues, where necessary working with marketing counterparts at partner organizations (e.g. media partnerships).
  • Oversee the processing of all delegate registrations on e-touches
  • Create new virtual networking opportunities for delegates attending INYT conferences.
  • Develop and manage marketing budgets and oversee contracts and vendors

Brand development and strategy

  • Work with the Conference Programmer to ensure a smooth and timely flow of marketing copy and speaker and program updates for promotions, website and incorporate relevant research findings in to the plans.
  • Create the design brief and work with marketing services colleagues (Creative Services in NY) to develop the look and feel for each event
  • Ensure all marketing materials are produced on time and on budget for all direct, online and advertising media, and that any house ad inventory in INYT and/or NYT is used effectively.
  • Oversee conference Web sites and ensure the marketing and sales potential is being optimized
  • Take the lead, working with editorial colleagues, the International Conference Programmer and Corporate Communications Manager on exploiting the potential of social media to drive awareness of INYT events, and generate sales/sales leads.
  • Responsible for researching and establishing promotional partnerships with relevant media and trade associations.  Ensuring the relationship is maintained throughout the campaign and both parties fulfill their obligations
  • Work with Communications Manager to ensure that PR effort is well coordinated and integrated within the broader Marketing Plan of each conference
  • Act as point person for the IHT’s and The New York Times’s marketing services departments on all in-paper and online conferences house ad inventory
  • Be responsible for updating the conference websites, ensuring the information is accurate and up to date. This includes post conference updating along with the Post Delegate and Press Coverage reports

Marketing Analysis

  • Improve systems to measure marketing effectiveness of different tactics and programs; continuously apply analytics to improve marketing efforts and optimize audience revenue
  • Provide monthly report on marketing and sales campaign results, delegate revenue and upcoming activities and share, where relevant, with conference partners.
  • Tracking campaign results and capturing this on the marketing database to enable ROI comparisons and source reports

The New York Times is looking for a staff photo editor in the Hong Kong newsroom of The International New York Times. The successful applicant must assign and research a wide array of news and feature photographs for all sections of the newspaper and web, with a particular emphasis on digital coverage needs. This person needs to work productively with staff photographers, freelancers, agencies and all other sources of pictures, as well as editors, designers, reporters and producers.

The ideal candidate should have a strong demonstrable passion for photography, journalism and visual storytelling of all kinds. He/she must be a team player and a good communicator, and must generate and develop ideas for pictures and picture essays. Candidate should be comfortable with change and be able to work well in a collaborative environment. Excellent news judgment, and a firm sense of journalistic ethics are both essential, as is knowledge of photographic usage and copyright issues. Candidate should have a good understanding of regional and international affairs. Language skills are a plus.

Familiarity with electronic image handling, selecting, cropping and toning photographs for articles, blogs, slideshows, and visual essays is required. The candidate should possess exceptional technical skills, including proficiency in Photoshop and other image handling software. Video and audio editing skills are a plus.

ROLE EXPECTATIONS AND CONTRIBUTIONS:

  • Set up meetings with key clients and senior Syndication Sales management during regional visits and conferences. Work with region’s Sales Director to prioritize the team travel schedule throughout the year, including trips for senior management, in order to maximize revenue growth and meet division and client objectives.
  • Serve as a point person on the global sales team for a specific product, tracking sales while being the point person for all things related to that product.
  • Participate in regular regional team and global sales meetings to update the status of initiatives and to share best practices with colleagues and initiate conversations as needed to resolve any outstanding issues.
  • Input all prospective clients and existing client information into Salesforce and other relevant databases.

CANDIDATE QUALIFICATIONS AND EXPERIENCE:

Position overview

The Senior Sales Manager / Sales Director (“Sales Manager”) will focus on growing The New York Times’ Corporate Digital Subscription business in the EMEA region.  The Sales Manager will report to the Director of Corporate Digital Solutions.

Primary responsibilities

  • Generate digital subscription sales within a variety of business segments, including government, law, financial services, media, nonprofits, and general corporate.
  • Establish individual sales and marketing plans to meet/exceed assigned digital sales goals.
  • Work closely with B2B Marketing team to devise lead messaging and nurturing campaigns for his/her assigned industries and regions.
  • Fully utilize CRM systems and technologies to maximize sales close rate among his/her leads
  • Collaborate closely with the rest of the Corporate Digital Solutions team in the U.S., Asia-Pacific, and EMEA to share and execute on best practices.
  • Thoroughly understand The NYT Corporate Digital Subscription offerings and NYT digital products, and actively keep abreast of business and technical developments that impact them.
  • Actively assist in the development of sales and marketing strategies, including recommending specific external advertising/event opportunities and tactics to improve closure and response rates.
  • Provide sales updates and performance analyses on a regular basis.

 Qualifications and Experience

  • 5-10 years of sales and/or marketing experience.  Experience within B2B and digital is a plus.
  • Sales driven and have a documented track record of closing new sales
  • Entrepreneurial and tenacious with the ability to assess market conditions and build a book of business from those findings
  • Outstanding communication skills, both written and verbal
